Privacy Policy

This policy explains what RentalApplicationMaker (RentalApplicationMaker (operated by [Company legal name], UAE)) collects and why. Short version: the free rental application is made on your device, and we never collect Social Security numbers or bank numbers.

Free form builder

The builder runs in your browser. Your property details, fee, criteria and questions are used to make the PDF on your device and are not uploaded. Your last settings are saved in your browser's local storage so you don't have to retype them. Paper forms that applicants fill in by hand never reach us.

Online applications (Landlord Pro)

When a landlord with Landlord Pro creates an online application link, they opt in to storage and choose how long applications are kept: 7, 14 or 30 days. When an applicant submits the online form:

  • We store only the answers on that form (for example name, contact details, rental history, employment and income, occupants, pets, vehicles, references) and the time the applicant gave consent. The online form never asks for Social Security numbers, dates of birth, ID numbers, bank or card numbers, or criminal history, and our server rejects answers that look like SSNs or account numbers.
  • Answers are encrypted at rest (AES-256-GCM) and shown only to the landlord's licence that created the link.
  • Each application is deleted automatically when its retention period ends. The landlord can delete it sooner, and can delete all applicant data at once. Links and any remaining applications are also deleted 30 days after the landlord's subscription ends.
  • We never log application contents. Logs contain counts and errors only.
  • We act as a service provider to the landlord, who decides how applications are used. Applicants who want a copy, correction or deletion can ask the landlord, or email us at support@rentalapplicationmaker.com with the property address and we will delete the application.
  • Applicants can instead download their answers as a PDF without sending anything to us.

We are not a consumer reporting agency. We do not run credit, criminal or eviction checks and do not sell or share applicant data.

Files

We never store files on our servers. Rental application PDFs, fillable PDFs and applicant summary PDFs are generated in your browser. A Pro logo is resized and kept in your browser's local storage, never uploaded.

Contact form

If you contact us, we receive your name, email address and message so we can reply. We keep this correspondence for up to 24 months and don't sell it or use it for advertising.

Landlord Pro payments

Payments are processed by Stripe; we never see or store your card number. We keep a minimal licence record: a random licence key, your Stripe customer and subscription IDs, plan, status and renewal date. We set one strictly necessary, signed cookie (ram_lic) so your device remembers the licence.

Retention and deletion

  • Online applications: deleted after 7, 14 or 30 days (landlord's choice), or sooner on request.
  • Licence records, links and remaining applications: deleted 30 days after a subscription ends.
  • Rate limiting uses a one-way hash of your IP address, held in memory for minutes only.
  • Stripe webhook logs keep only event IDs and types.

Delete my data

Removes your saved form settings and logo from this browser and, if your subscription has ended, your licence record plus all application links and applications from our server. (While Pro is active, use "Delete all applicant data" on the dashboard.)

Analytics and cookies

We use Google Analytics 4 (Google LLC) to understand which pages and features are used. It collects pseudonymous usage data: pages viewed, approximate location, device and browser type, referrer, and events such as "application PDF generated" (format, state and number of sections only), "upgrade clicked", "checkout started" and "purchase". We never send names, addresses, answers or form contents to Google. Analytics is never loaded with applicant answers. Google Analytics sets first-party cookies (_ga, _ga_*) for up to 2 years; advertising features are off.

EEA, UK and Switzerland: analytics cookies stay off until you click "Accept" on our cookie banner (Google Consent Mode v2). Elsewhere (including the US), analytics is on by default; opt out with the Google Analytics opt-out add-on, by blocking cookies, or with Global Privacy Control.

Server logs

Our hosting provider keeps standard technical logs (IP address, browser type, pages requested) for security, for a limited period.

Your rights

Depending on where you live (for example California under the CCPA/CPRA, or the EU/UK under the GDPR), you may have the right to access, correct or delete your personal data. Email support@rentalapplicationmaker.com. We don't sell or share personal information as defined by the CCPA.

Children

This service is not directed at children under 16.
